Job Description

Job Purpose

The Maintenance Manager will be responsible for identifying, reviewing, coordinating and delivery of facility maintenance, which includes maintenance planning, coordinating maintenance delivery services, performance monitoring and financial management. The responsibilities include procurement, review of repairs and maintenance matters, preventative and statutory maintenance of equipment, hard and soft maintenance management.

Key Accountabilities

  • Follow all applicable policies and procedures required for the   successful execution of the job; 
  • Follow the IMS Policy and meet the requirements of the organization’s Integrated Management System which is compliant to international standards for Quality (ISO 9001), Food Safety (ISO 22000), Occupational Health & Safety (OHSAS 18001), and Environmental Management System (ISO 14001);
  • Cooperate with internal and external auditors;
  • Make recommendations for continual improvement and support improvement initiatives the company undertakes;
  • Supervises and assigns the work of maintenance employees, and inspects work for completeness;
  • Coordinates and inspects the electrical, plumbing, mechanical and HVAC systems in all locations;
  • Reviews the operation of equipment and systems constantly, to minimize unplanned downtime, anticipate solve problems in a timely manner, and to identify opportunities for improvement;
  • Develop a Planned Preventative Maintenance (PPM) schedule, ensure full preventative maintenance is carried out, plan in missed maintenance activities, and lead the team to deliver effectively;
  • Monitor equipment/spare parts/consumables inventory and place orders when necessary;
  • Carry out monthly inventory;
  • Identifies best-cost options for purchases such as spare parts, consumables, etc..;
  • Negotiates rates, obtains quotations, and recommends best purchase;
  • Keeps records of all purchases made;
  • Communicates regularly with all maintenance technicians, both individually and as a group, to ensure good two-way communication concerning maintenance issues;
  • Manage, coach and develop a high performing Maintenance team that meets agreed objectives and which delivers best practice results, added value and continuous improvements;
  • Undertake continuous training and development;
  • Prepares regular reports to the Supervisory operations Manager on maintenance activities. Prepares LPO’s for approved purchases and monitors expenses against budget;
  • Conducts employee performance reviews based on job descriptions to determine competency, knowledge, and contribution of the maintenance technicians;
  • Thorough knowledge of the occupation hazards and corresponding safety precautions necessary for the safe performance of assigned duties.

Job Context

To supervise the provision of Maintenance support services to all USAID equipment/properties to ensure that all equipment/systems operate without unnecessary disruptions due to equipment breakdown or non- availability.

Qualifications, Experience & Skills

  • Diploma in electrical or mechanical engineering. Must have working knowledge of general repair, plumbing, painting, HVAC and electrical troubleshooting;
  • Business English (Spoken and written);
  • Extensive supervisory level experience in maintenance field with significant man management experience;
  • Negotiation and contract formulation;
  • Knowledge of SLAs, KPI, Performance management;
  • Hotel experience is an advantage;
  • Minimum 2 years’ work experience in Africa.
