Job Description

Job Purpose

Manages the logistics facility for Gabon and is responsible for receipt of product, storage, packing, loading and onward delivery to the businesses contract operations. Responsible for the safe and efficient day-to-day operation of the warehouse(s) and work yard(s) for his division ensuring that all stock movements are recorded accurately; FIFO practise are followed; order assembly and delivery schedules are efficient and operate smoothly; warehouse, quality, food safety and HSE standards and practices are followed; agreed service levels to customers are met; key performance indicators are recorded and analysed; wastage and expiry levels are controlled and recorded; all logistics operations comply with the written processes and policies of the company; and operates within a set budgets.

Key Accountabilities

  • Manages the logistics facility for Gabon and is responsible for receipt of product, storage, packing, loading and onward delivery to the businesses contract operations;
  • Responsible for the safe and efficient day-to-day operation of the warehouse(s) and work yard(s) for his division ensuring that all stock movements are recorded accurately, FIFO practise are followed, and order assembly and delivery schedules are adhered too, and agreed service levels to customers are met;
  • Implements agreed company policies and procedures and continually review best operating practices within goods in/ out operation to ensure that all orders are processed, picked and delivered using planned formats to maximise operational efficiency;
  • Warehouse, quality, food safety and HSE standards and practices are followed and wastage and expiry levels are controlled and recorded;
  • Monitors equipment serviceability and ensures equipment is maintained in serviceable and safe condition so as not to represent a risk to any person;
  • Manages staff in accordance with the agreed policies and budgets of the company and handles all necessary disciplinary matters and staff issues in a timely and appropriate manner. Monitors manpower and work allocations to ensure that staff resources are maximised, overtime is minimised, all activities are covered and services provided to agreed customer service levels;
  • Creates and produces reports and key performance indicators are recorded and analysed to ensure valuable, relevant and up-to-date information to Senior Manager on the operational efficiency of the warehouse;
  • Controls the use of the operational budget assigned to the division and ensures that costs are within agreed budgets;
  • Identifies staff development needs to meet business needs and arranges appropriate training through HR. Presents as a role model and coached more junior staff in the company values and behaviours expected from staff;
  • Follow the IMS Policy and meet the requirements of the organization’s Integrated Management System which is compliant to international standards for Quality (ISO 9001), Food Safety (ISO 22000), Occupational Health & Safety (OHSAS 18001), and Environmental Management System (ISO 14001);
  • Cooperate and assist with internal and external auditors;
  • Make recommendations for continual improvement and support improvement initiatives the company undertakes;
  • Monitors the working environment to ensure that all Health & Safety requirements are met and adhered to in order to ensure the safety of all staff and visitors in the warehouse.
  • Follow all applicable policies and procedures required for the   successful execution of the job;

Job Context
  • Responsible for managing the operational efficient of the logistics operation;
  • Financial authority as approved within company guidelines;
  • Ensures all activities are conducted within ear-marked expenditure budget;
  • To lead the company to operational excellence in inventory management, warehousing and distribution operations and be able and willing to handle any of the products distributed by the company;
  • Required to work additional hours at times, depending on workload, to meet operational requirements;
  • Required to travel around Gabon to visit Sites, Customers, Port & Customs offices, 3rd Party Subcontractors, Health dept. etc;

Internal:

  • Internal management team and head office.
  • Service provider and Team members
  • Leader & Coach: Leading, managing and developing his team through the appropriate supervisor structure.
  • Staff members: These will consist of drivers, helpers, warehouse staff, administration staff, and supervision.

External:

  • Being able to communicate effectively with customer, suppliers and regulatory authority as per the company policy and work ethics.

Frameworks, Boundaries & Decision Making Authority

  • Responsible to execute the tasks related to Logistics operations within the guidelines provide or set as per the company policies/ logistics process maps/ ISO manual;
  • Financial authority as approved within company guidelines;
  • Able to take decisions independently and handle problems associated with: staff planning, discipline, welfare and development.

Qualifications, Experience & Skills

  • Specialised qualifications in Supply chain & warehouse management such CILT Level 2 or equivalent;
  • HSE accreditations or certificates;
  • Qualification in Food Handling;
  • Excellent spoken and written French & English;
  • Minimum of 5 years in a distribution or warehouse operations role at supervisory/ management level;
  • 2 – 5 years working in a demanding, pressured operational environment;
  • Proven success in managing, developing and motivating staff;
  • Proven man-management ability across culture;
  • Report writing and analysing performance in warehouse operations;
  • Experience in field of remote site catering;
  • Forklift drivers permit.
